We are seeking a detail-oriented and organized Sales Administrator to join our team. In this role, you'll provide essential support to the Sales Team by helping with tasks that directly and indirectly impact sales revenue. You'll play a key role in preparing proposals, managing customer accounts, maintaining databases, and assisting with new account setups. This position is perfect for someone who enjoys staying organized, working with others, and contributing to a team's success. Your responsibilities will focus on four main areas:
- Proposal Preparation
- Customer Account Reconciliation
- Database Management
- New Account Sales Support
Here's a breakdown of what you'll handle:
Key Responsibilities
Surveys & Proposals (Preparing Customer Proposals)
- Review documents in SharePoint to confirm pricing, materials, and labor hours are accurate (don't worry, we'll train you!).
- Make sure all required forms are submitted on time.
- Organize and save important documents electronically and in office files for easy access.
- Maintain a file of original documents, correspondence, and any updates.
- Send completed proposals to the Outside Sales Rep to share with the customer.
- Update the Dynamics database to track sales opportunities.
- Stay in communication with the Outside Sales Rep to ensure pipeline accuracy.
New Account Start-Ups (Setting Up New Customers)
- Create and send documents to Customer Service to set up new customer accounts.
- Include pricing, materials, labor hours, and company profile information.
- Send a personalized "Thank You" email to new customers and request any additional information.
- Request a credit limit to finalize the account setup.
Customer Account Reconciliation/Revisions (Updating Customer Contracts)
- Review requests for changes to a customer's account or contract to figure out exactly what needs to be done.
- Coordinate tasks for making updates and communicate with the customer, if needed.
- Compare the customer's current contract with the suggested changes to ensure accuracy.
- Update pricing and details on an Excel spreadsheet to reflect changes.
- Prepare updated agreements or revision letters and send them to the Sales Rep for customer approval.
- Log updates in the Dynamics database for tracking.
- Keep detailed, organized records of all changes and communications.
- Once changes are approved or denied, update customer contract files and prepare new documents for Customer Service.
Sales Support (Helping Close Sales)
- Act as a key connection between customers and the Outside Sales Rep.
- Help the team stay updated by double-checking pipeline accuracy.
- Make follow-up calls or send emails to customers, as requested by the Sales Rep.
- Look for updates or notes in the Dynamics database to ensure all communications are clear.
Account Cancellations (Preparing for Future Opportunities)
- Document reasons and details about customer cancellations in the Dynamics database.
- Work with the Outside Sales Rep to decide if there's an opportunity to reopen a customer account in the future.
- Set reminders for the TeleSales team to follow up with cancellations at a later date.
- File account cancellation documents for future reference.

- Is comfortable working closely with team members and is eager to contribute to a collaborative environment.
- Has basic proficiency with MS Office (especially Excel).
